Important Real Estate Investment Company is looking for an Office Assistant.
Responsibilities include mail distribution, copy services, hospitality and conference room set-up, reception assistance and other general office duties as needed.
Among others, this will be the task assign:
Set-up conference rooms including audio/visual equipment, furniture configuration, and food/beverages as needed.
Assist with reception coverage, including managing multiple phone lines and visitor check-in.
Handle sensitive and/or confidential documents and information.
Communicate with manager and client on job or deadline issues.
Request for budgets and purchase all office supplies
Handling databases and file management
Organize travel (flights, booking hotel, etc)
Handling Office´s petty cash
Provide general administrative and clerical support including mailing, scanning, faxing and copying to management.
Schedule Meetings and manage agenda
Cocktails & Events organization
Develop PowerPoint presentations and manage social networks
Qualifications
Education:
High School Diploma or equivalent. Secretarial studies or similar degree is a plus.
Required Skills:
Advanced knowledge of Microsfot office
Strong administrative and organizational skills
Creative problem-solving skills. Strong communication skills, verbal and written.
Ability to interact successfully with both internal and external customers at all levels. Client oriented.
Ability to multi task, prioritize and be flexible with changing business needs in a team environment.
Bilingual (English & Spanish)
Monday to Friday 8.30 am to 6 pm
