We are seeking an adaptable and highly organized Administrative Assistant to provide critical support to the Executive Team at our tech startup. The ideal candidate thrives in a fast-paced environment and is enthusiastic about tackling a wide range of tasks that vary week by week. The ability to seamlessly shift between diverse duties, while maintaining efficiency and attention to detail, is key to our team's success. Key Responsibilities: Communications : Oversee internal and external communications, managing email correspondence, creating presentations, and ensuring clear and effective communication channels within and outside the organization. People Operations : Facilitate the entire recruitment and onboarding process, leveraging tools to streamline hiring, and managing candidate experience to ensure a smooth integration of new hires into the company culture. Sales Support : Assist in the management and optimization of the sales pipeline using tools like Hubspot, ensuring data accuracy and supporting the sales team in achieving their targets. Finances : Manage financial records and transactions, oversee budgeting and bookkeeping processes, and ensure compliance with financial regulations and standards. Data Science : Utilize tools for data analysis and visualization to support decision-making processes, creating reports and dashboards that highlight key metrics and trends. Automation and Process Optimization : Identify opportunities for process efficiency, leveraging automation tools such as Jira Automation, Zapier, and Power Automate to streamline workflows, reduce manual tasks, and enhance overall productivity across teams. Skills and Qualifications: - Rapid learning ability, with the agility to adopt new tools and processes effortlessly to suit evolving responsibilities. - Excellent organizational skills, capable of managing a variety of tasks without compromising on attention to detail. - Proactive nature, quick to notice, raise and, if possible, solve concerns and issues without prompting - Experience with applicant tracking software such as Workable, enhancing recruitment efforts and streamlining candidate management. - Proficiency in Canva, Microsoft Office, especially Excel, for creating engaging content, managing data, and preparing impactful presentations. - Familiarity with project management and collaboration tools like Confluence and Jira, facilitating effective team communication and project tracking. - Working / Professional Proficiency in English. Strong communication skills, both written and verbal, ensuring clear and effective interactions across all levels of the organization.
