Essential Duties and Responsibilities: Maintain and distribute various trackers, logs, and schedules to all concerned parties.
Arrange complex and detailed travel plans and itineraries, compile documents for travel:related meetings, and accompany supervisor when requested.
Schedule conference calls and meetings, and take minutes as requested.
Update trackers and reports as requested and assigned by Country Manager.
Manage supervisors calendar and independently schedule appointments.
Prepare correspondence, proposals and documents.
Prepare/ Compose memorandums and e:mails as needed.
Process reports and data packages.
Handle department mailing and shipping activities.
Maintain contact lists and department/region phone directory.
Answer incoming telephone calls.
Assist with the preparation of presentation materials and exhibits.
Order and maintain supplies for the equipment, department and staff.
May process expense and exception reports for the department and staff.
Support Ground and Tenant leasing administrative activities.
Use the personal protection equipment in an appropriate manner, according to the position.
Comply with the companys defined HSE procedures and regulations.
Other projects and duties as assigned.
Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required. Education and/or Experience:
High School Diploma or GED required, AA degree strongly preferred.
3+ years administrative support experience.
Must demonstrate advance knowledge and ability to work with MS Word, Excel and PowerPoint.
Must be proficient in Microsoft Outlook e:mail and calendar applications.
Ability to interact professionally with all levels of personnel via phone, e:mail and written correspondence.
Language Skills:
Ability to read and comprehend simple instructions, short correspondence and memos in both Spanish and English.
Ability to communicate effectively with customers, vendors, and co:workers in Latin America and Corporate Headquarters in English and Spanish.
Mathematical Skills:
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
Reasoning Ability:
Ability to carry out instruction furnished in written, oral or diagram form.
Physical Demands:
